Who receives the newsletter? In Komma, you don’t answer this question using a manually maintained address list in a spreadsheet, but rather using your contacts and lists and segments.
The basic idea: a single database
All recipients are contacts in Komma. Their newsletter settings (e.g. ‘receives the parish newsletter’) are attributes associated with the contact. When sending out a newsletter, you simply select the appropriate list or segment – and Komma compiles the current list of recipients.
This means: you update address changes, new sign-ups and unsubscriptions once per contact, and all future mailings are automatically correct.
Recipient groups in practice
Tried-and-tested segments for sending mailings:
- ‘Newsletter recipients with email’ – the standard group for digital mailings
- “Newsletter recipients without an email address” – this group receives the letter by post instead
- Target groups by location, role or interest – e.g. only volunteers at an event
Consent and unsubscribing
Only send newsletters to people who have consented to receive them. Komma processes unsubscriptions automatically – an unsubscribed contact is removed from the recipient groups, even if they remain in your contact database.
Check before sending
Take a look at the number of recipients before sending. If it differs significantly from the usual figure, there may be something wrong with the segment – it’s better to check quickly than to send to the wrong group.
