Folders, spam and archive

A shared inbox only works if it stays tidy. Komma provides you with the classic tools to achieve this.

The basic principle: Inbox = open tasks

The following rule has proven its worth: the inbox only contains items that still require your attention. Everything that’s been dealt with goes into the Archive. This way, every team member can see at a glance what’s still outstanding – and nothing gets lost.

Archiving

You can archive completed emails with a single click. Archived emails aren’t deleted: They remain searchable and can be found at any time; they simply disappear from the inbox.

Spam

Unwanted emails end up in the Spam folder. Have a look in there from time to time – in rare cases, a legitimate email may also be filtered out.

Bin

Deleted emails are first moved to the Bin and can be restored from there. They are only permanently deleted once the Bin is emptied.

Tips for teamwork

  • Archive rather than delete – the history is often worth its weight in gold later on.
  • Reply promptly or archive – an empty inbox is the best handover to colleagues.
  • Agree on a system: Who replies to what? A brief team agreement prevents duplicate replies.
