The shared inbox
Last updated on 14.07.2026
The Mail section brings your organisation’s email inbox directly into the portal. All authorised team members see the same inbox – no one needs to forward emails or share login details anymore.
How the inbox works
Komma connects to your organisation’s mailbox and automatically synchronises incoming emails to the portal roughly every minute. This means new messages appear almost in real time, without you having to do anything.
Structure of the Mail section
| Folder | Contents |
|---|---|
| Inbox | Newly received emails |
| Drafts | Emails started but not yet sent |
| Sent | Everything sent from Komma |
| Spam | Filtered out unwanted emails |
| Archive | Completed emails to be kept |
| Bin | Deleted emails |
Working with emails
- Reply directly from the email view – the reply is sent on behalf of the organisation’s mailbox.
- Archive completed emails – this ensures the Inbox remains a to-do list rather than a final resting place.
- Search using the search function in the email section.
Linking to contacts
Because emails and contacts are stored in the same system, Komma recognises familiar senders. This means you have the context right at your fingertips when reading an email.
Personal inboxes
As well as the shared organisational inbox, personal inboxes can also be set up for individual team members – find out more under Personal inboxes.
